Job Description:

The Program Compliance and Operations Coordinator supports the operational, administrative, and documentation processes of residential and outpatient programs. This role is responsible for maintaining accurate participant records, coordinating compliance documentation, monitoring drug testing reporting, managing admissions and discharges, and supporting scheduling and operational workflows.

This position operates within a structured environment that requires careful attention to detail and strict adherence to procedures. Candidates who succeed in this role are organized, process driven, and comfortable working with detailed documentation and defined workflows.


Key Responsibilities


Compliance Documentation and Reporting

  • Prepare required program alerts and documentation according to established procedures and timelines
  • Maintain organized participant documentation to support program compliance and reporting requirements
  • Prepare and submit incident reports for behavioral incidents, compliance violations, or missed program requirements
  • Ensure all documentation is properly filed and organized for internal review and audits
  • Communicate urgent compliance matters to program leadership when required
  • Handled minimal calls from in-house staff and program directors to verify information and support data updates.


Admissions and Participant Records

  • Create and maintain participant records upon admission
  • Review documentation to ensure participants are properly classified and placed in the correct program
  • Process admissions, transfers, and discharges while maintaining complete documentation records
  • Update participant demographic information and program status as needed
  • Ensure all documentation is completed before finalizing discharges


Drug Testing Monitoring and Reporting

  • Monitor participant drug testing schedules and review testing results
  • Document drug testing outcomes and maintain accurate records
  • Report positive test results within required reporting timelines
  • Coordinate follow up testing when additional verification is required
  • Track missing or delayed testing results and initiate follow up procedures
  • Prepare incident reports for missed or repeated testing noncompliance


Bed Management and Facility Capacity

  • Monitor facility bed availability and track upcoming admissions
  • Place beds on hold when placements are accepted
  • Identify potential bed conflicts or capacity limitations
  • Notify program leadership when scheduled placements exceed available capacity
  • Maintain daily facility occupancy tracking


Transportation and Appointment Scheduling

  • Coordinate participant transportation and appointment scheduling
  • Ensure scheduling requests follow required advance notice policies
  • Maintain shared calendars for appointments and transportation coordination
  • Communicate scheduling conflicts or updates with appropriate staff


Medication and Health Documentation

  • Enter basic medication information based on prescription instructions during participant admission
  • Maintain updated medication documentation in participant records
  • Verify prescription details when required to ensure record accuracy


Administrative Data Management

  • Maintain accurate administrative records across internal documentation platforms
  • Upload required forms, reports, and supporting documents
  • Review documentation for accuracy and completeness
  • Resolve discrepancies in participant records when identified


Program Operations Support

  • Track participant attendance and participation in program activities
  • Assist program leadership in monitoring documentation deadlines
  • Communicate workload priorities when multiple requests are received
  • Support daily administrative and operational program functions
